About These Terms
Welcome to Vacalion. By accessing or using our website, mobile application, or any of our services (collectively, the "Services"), you agree to be bound by these Terms of Service ("Terms"). Please read them carefully before using Vacalion.
These Terms form a legally binding agreement between you and Vacalion. If you do not agree to these Terms, you must not access or use our Services.
What Do We Offer?
Vacalion is an AI-powered personal finance platform that provides the following Services:
- Payment processing: sending and receiving money domestically and internationally
- Receipt scanning and expense categorization using OCR technology
- Automated tax return generation (currently US Form 1040 and related schedules)
- Bank account linking and transaction aggregation via regulated open banking APIs
- AI-powered financial analytics, budgeting tools, and spending insights
- Fraud detection and transaction monitoring through FraudGuard
- Subscription management and bill reminders
- Developer APIs (DevAPI) for building financial applications
We reserve the right to modify, suspend, or discontinue any part of our Services at any time. We will endeavour to give reasonable notice of material changes where possible.
Who Can Use Vacalion?
To use our Services, you must:
- Be at least 18 years of age (or the age of majority in your jurisdiction, if higher)
- Have the legal capacity to enter into a binding contract
- Not be prohibited from receiving our Services under applicable law
- Provide accurate, current, and complete information during registration
If you are using our Services on behalf of a business or organisation, you represent that you have authority to bind that entity to these Terms, and references to "you" include both you and that entity.
Our Services are currently available to residents of the United States and selected jurisdictions. We may expand or restrict availability at our discretion.
How Do I Create an Account?
To access most features, you must register for a Vacalion account by providing a valid email address and creating a password. You may also sign in using supported third-party providers (such as Google or Apple).
You agree to provide truthful, accurate, and complete information during registration and to keep this information up to date. We may require you to verify your identity before activating certain features, including payment processing and bank linking, in accordance with applicable know-your-customer (KYC) and anti-money-laundering (AML) regulations.
How Do I Keep My Account Secure?
You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. You must:
- Use a strong, unique password and not share it with anyone
- Enable two-factor authentication where available
- Log out of your account when using shared or public devices
- Notify us immediately at security@vacalion.com if you become aware of any unauthorised use of your account
We will never ask you for your password by email, phone, or any other means. If you receive such a request, treat it as a phishing attempt and report it to us.
What Am I Not Allowed to Do?
You agree not to use our Services for any of the following:
- Any illegal activity, including money laundering, fraud, or financing terrorism
- Sending payments for illegal goods or services, including drugs, weapons, or counterfeit items
- Harassment, abuse, or harm to other users or third parties
- Attempting to gain unauthorised access to our systems or data
- Reverse engineering, decompiling, or disassembling any part of our platform
- Scraping, harvesting, or otherwise extracting data from our Services without written permission
- Uploading malware, viruses, or any other malicious code
- Impersonating another person or entity
- Circumventing rate limits, usage quotas, or other access controls
Violation of this section may result in immediate suspension or termination of your account and, where appropriate, referral to law enforcement authorities.
What Do the Plans Cost?
Vacalion offers a free tier and paid subscription plans (currently "Pro" and "Business"). Subscription fees are charged in advance on a monthly or annual basis depending on the plan you select. All fees are stated in US dollars unless otherwise indicated.
Paid subscriptions are processed through our payment partner, Stripe, Inc. By subscribing, you authorise us to charge your chosen payment method on a recurring basis until you cancel. We will always display the applicable fees clearly before you complete a purchase.
We may adjust our pricing at any time. If we increase the price of a plan you are currently subscribed to, we will notify you at least 30 days in advance. Continued use of the paid plan after the effective date of the price change constitutes acceptance of the new price.
How Does the Free Trial Work?
We may offer a free trial period for paid plans. During a free trial, you will have full access to the features of the selected plan at no charge. At the end of the trial period, your account will automatically convert to a paid subscription unless you cancel before the trial expires.
Free trials are available once per user and may not be combined with promotional codes or other offers. We reserve the right to withdraw or modify free trial offers at any time without prior notice.
Can I Get a Refund or Cancel?
You may cancel your subscription at any time from your account settings or by contacting our support team. Cancellation takes effect at the end of your current billing period — you will retain access to paid features until then.
Subscription fees are generally non-refundable except:
- Where required by applicable consumer protection law
- Where we have failed to deliver material features of the plan you paid for
- Within 14 days of your first subscription payment if you have not used the paid features

Who Owns the Vacalion Platform?
All content, technology, software, trade marks, logos, and other intellectual property that form part of the Vacalion platform ("Our Content") are owned by or licensed to Vacalion and are protected by applicable intellectual property laws.
We grant you a limited, non-exclusive, non-transferable, revocable licence to access and use Our Content solely for your personal or internal business use in connection with the Services, as permitted by these Terms. This licence does not include the right to:
- Reproduce, distribute, or publicly display Our Content
- Create derivative works based on Our Content
- Use Our Content for any commercial purpose other than using our Services as intended
- Remove or conceal any copyright, trade mark, or proprietary notices
What Happens to Feedback I Provide?
If you submit ideas, suggestions, bug reports, or other feedback about our Services ("Feedback"), you grant us a worldwide, royalty-free, perpetual, irrevocable licence to use, reproduce, and incorporate that Feedback into our Services for any purpose, without any obligation to compensate you.
You retain ownership of any personal financial data you upload to Vacalion. We act as a data processor on your behalf and handle your data in accordance with our Privacy Policy.
What Are Your Disclaimers?
Our Services are provided on an "as is" and "as available" basis. To the maximum extent permitted by law, we disclaim all warranties, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, and non-infringement.
In particular:
- Vacalion does not provide regulated financial advice. Tax generation features are tools to assist you and do not constitute professional tax advice. You should consult a qualified accountant or tax adviser before filing returns.
- Bank linking and transaction data is sourced from third-party open banking providers. We do not guarantee the accuracy or completeness of this data.
- FraudGuard detection is probabilistic and may produce false positives or fail to flag certain transactions. It does not replace your own due diligence.
- We do not guarantee uninterrupted or error-free operation of our Services.
What Is Your Liability Limit?
To the maximum extent permitted by applicable law, Vacalion and its affiliates, officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of the Services, including loss of profits, loss of data, or business interruption.
Our total aggregate liability to you for any claims arising under these Terms shall not exceed the greater of (a) the amount you paid us in the twelve months preceding the event giving rise to the claim, or (b) US$100.
Some jurisdictions do not allow the exclusion or limitation of liability for certain types of damages. In such jurisdictions, our liability is limited to the greatest extent permitted by law.
Do I Have to Indemnify Vacalion?
You agree to indemnify, defend, and hold harmless Vacalion, its affiliates, and their respective officers, directors, employees, and agents from and against any claims, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or relating to:
- Your use of the Services in violation of these Terms
- Your violation of any applicable law or regulation
- Your infringement of any third-party intellectual property rights
- Any Feedback or content you submit to our platform
How Are Disputes Resolved?
We encourage you to contact us first if you have a concern — most issues can be resolved quickly and informally.
If we cannot resolve a dispute informally within 30 days of written notice, any dispute arising from these Terms or our Services shall be subject to binding individual arbitration administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules (for US-based users). You and Vacalion each waive the right to a trial by jury and to participate in class-action lawsuits.
For users located in the European Economic Area (EEA), disputes may be referred to the competent courts of the jurisdiction in which you reside, and your mandatory statutory rights as a consumer are not affected by these Terms.
Can These Terms Change?
We may update these Terms from time to time to reflect changes to our Services, business practices, or applicable law. When we make material changes, we will notify you by email (to the address on your account) and by posting a notice on our website at least 14 days before the changes take effect.
Your continued use of the Services after the effective date of any updated Terms constitutes your acceptance of those changes. If you do not agree with the updated Terms, you must stop using our Services and may close your account at any time.
